We are excited to have you present your poster at the 2025 AMSN Convention in Austin, Texas, Sept. 11-13! Please read this resource page in its entirety, as it contains important information and deadlines for presenting your poster at this year’s convention.
Presenter Checklist and Due Dates
- Registration Opens – Tuesday, April 8
- Poster Presenter Survey Deadline – Monday, June 16
- Early Bird Registration Deadline – Monday, June 30
- Poster PDF Submission Deadline – Monday, Aug. 15
Required Forms
All poster presenters must complete the AMSN Convention Poster Presenter Agreement and Financial Disclosures Survey by Monday, June 16. For posters with multiple presenters, each presenter must submit their own survey.

On-site Poster Presentations
The poster itself can include more names than the two presenters coming on-site. If more than two presenters are on-site, we ask that only two presenters are at your poster at one time to ensure adequate space for attendees to visit and view posters. If there has been a change in poster presenters, please notify speakers@amsn.org.
Poster PDF and Content Guidelines
All poster authors are required to submit a PDF of the poster to be uploaded to the AMSN Convention mobile app and website for viewing. Submit your poster in PDF format to speakers@amsn.org by Monday, Aug. 15. We will not accept PowerPoint versions of your poster — you must send a PDF.

On-site Poster Setup Times and Instructions
- You must print and bring your own poster to the event. AMSN does not have poster printing options available at or in advance of the convention.
- Please plan to set up your poster in the poster area near the Exhibit Hall on Thursday, Sept. 11, from 8 a.m. - 2 p.m. CT. Push pins will be provided by your assigned board for you to hang your poster.
- Please plan to take down your poster on Saturday, Sept. 13, from 1:30-4 p.m. CT. Any remaining posters after this time will be discarded.
- You may not place a table, any furniture or electrical near your poster.
- If you plan on creating a handout with supplemental poster information or contact information, AMSN encourages you to have a QR code displayed on your board in place of physical handouts. If you need assistance with generating a QR code, you can reach out to speakers@amsn.org.

Poster presenters are expected to be present at their poster during the two Poster Viewing With Presenters Sessions highlighted above. All other times listed are when the exhibit hall and poster viewing area will be open for the attendees, but you are not required to be at your poster during those times.
Registration
All poster presenters must register for the event. Please note that presenters are responsible for all travel and registration fees. A $100 discount will be provided to the primary poster presenter. If your poster has more than one presenter, please decide who will receive the discount as we are unable to split the discount.
Please follow the instructions below to register:
- Visit our registration page and select "Register Yourself."
- Select the "Speaker" registration type.
- Enter coupon code POSTERAMSN25 and click Next.
- Continue with the registration process and submit your registration.
Hotel information can be found on the Hotel and Travel page. The link to book your hotel room at the Hilton Austin will be included in your registration confirmation email.
We will be doing a registration audit periodically, so please do not share this code with other convention attendees of presenters. If you run into any issues redeeming your coupon code, please reach out to registration@amsn.org.

Q: Will poster presenters receive an honorarium for presenting at the AMSN Convention?
A: In lieu of an honorarium, one primary poster presenter will receive a code to receive a discount off full conference registration.
Q: The discount code isn’t working. What should I do?
A: If you experience issues redeeming your coupon code during registration, please reach out to registration@amsn.org for assistance.
Q: Do I have to be present at my poster during all Poster Hall hours?
A: No. Poster Presenters are only required to be present at their posters during the two designated Poster Viewing With Presenters sessions on Friday, Sept. 12 from 8-9 a.m. and Saturday, Sept. 13 from 8-9 a.m.
Q: Can I bring my own pins to display my poster?
A: Yes, you may bring and use your own pins to display your poster, but AMSN will provide push pins in the poster hall during poster setup times.
Q: Can I set up a table or furniture display in front of my poster?
A: No, you may not place a table, any furniture or electrical in front of or near your poster.
Q: Can I provide handouts for the attendees?

Q: What should I wear while presenting?
A: Presenters often opt for business attire when presenting. Convention attire is business/business casual. Be mindful that some spaces may be cooler or warmer than others, so be prepared with layers. Comfortable shoes are also recommended.
